太線 Procedure for Returning to Your Home Country
As your return to your home country approaches, make sure to check the necessary procedures.

On-campus Procedures


(1) Inform your supervisor and department staff of your expected return date.

(2) Conduct the procedure for canceling your Student Liability Insurance at the Coop.

– Shizuoka campus: Shizuoka University Coop “Icho”, 2nd floor
– Hamamatsu campus: Shizuoka University Coop North Hall, 2nd floor
*If you return your Coop membership card, you will be eligible for a refund of the subscription fee.
During the process, your enrollment period will be confirmed. (Assistance available in Japanese only)

(3) If you need any certificates, such as your academic transcript, please request them from the student affairs office of your department at least two weeks before leaving the university.
* For non-regular students (such as exchange students or MEXT scholarship Japanese studies students), academic transcripts will not be issued without a request from the student.
* If you need your academic transcript to be sent directly from Shizuoka University to your home university, please be sure to inform the academic affairs office of your department.

(4) Return your student ID to your department.
**Depending on your department, additional procedures may be required. Be sure to check with the student affairs office or registrar’s office of your department.

Off-campus Procedures


Procedures for vacating the International Residence (University’s dormitory)

Set the Moving-out Date
Decide on the date you will move out, along with the date you plan to return home. *You must move out by the end of the period of your move-in permit, which is indicated on your Permission for Admission for the dormitory.
Submit the Notification of Eviction
Inform the dormitory manager of your expected date of moving-out and submit the notification form to them. The deadline for each facility is below.
– Shizuoka International Residence: by two weeks before you leave the dormitory.
– Hamamatsu International ResidenceⅠ, Ⅱ, or Akebono-Ryo: by 20 days before you leave the dormitory.

*The move-out procedures vary depending on the facility you are residing in. Detailed instructions for each procedure will be provided by the manager.
Settle Various Expenses
Receive bills for rent etc., and pay them by bank transfer.
Check Your Room with the Dormitory Manager
Attend the Room Check which will be done by the dormitory manager to confirm your room. *Please ask about the date of the Room Check with the dormitory manager.
Return Your Room Key
Return your room key on the day of moving-out. If you have an unavoidable reason to leave the residence outside the office hours, please ask the manager in advance.
* If you live in a rental apartment, you must follow the procedures for moving out and settling expenses in accordance with your contract. Please consult with the real estate agent or landlord which you contracted.

Procedures at the City Hall (Submission of the Moving-out Notification)
– Return your national health insurance card and settle any outstanding insurance premiums.
– Follow the procedures for withdrawing from the national pension system if you are enrolled.
– Return your My Number Card. (If you have) * You need to bring your Passport and Zairyu card (residence card), and national health insurance card, My number card (if you have).

Procedures at the Post Office
– Change the address to stop sending mails.
– Close your account of Japan Post bank. (if you have)
* You need to bring your Passport and Zairyu card (residence card), and bank card, bank passbook and Inkan (Hanko).

Procedures at the Suruga Bank
– Close your account of Suruga Bank at the brunch office written in your passbook.
* Please note that the closing of the bank account must be done after all payments have been made, such as dormitory fees and other services you have contracted.
If you close your bank account before the completion of all withdrawals or payments through the bank account, additional time and fees may be required. Also you may have other disadvantages as well.
* You need to bring your Passport and Zairyu card (residence card), and bank card, bank passbook and Inkan (Hanko).

Others
– If you contracted any internet connection services, such as SIM or Wi-fi, contact the company and complete procedures by yourself.
– Return your Zairyu card (residence card) at the airport of departure. You must keep it with you at all times.
