Things to Do Before Returning to Your Home Country

📝Before returning to your home country, please make sure to complete the following procedures.📝

 

(Suggested timing: About one month before departure)□Tell your academic supervisor your return date
Please tell your academic supervisor at Shizuoka University your planned return date.

 

□Tell your faculty office your return date
Please tell the faculty / student affairs office of your department your planned return date.

 

□Tell the dormitory manager your move-out date

You must move out of the dormitory by the end date written on your residence permission document.

Decide your move-out date and tell the dormitory manager.

Get a Move-Out Form from the manager, fill it out, and submit it.

When should you tell your move-out date?

  • Shizuoka International Residence: At least 2 weeks before moving out

  • Hamamatsu International Residence (Building 1 & 2), Akebono Dormitory: At least 20 days before moving out

Move-out procedures are different for each dormitory.
Please follow the instructions from the dormitory manager.

□Pay dormitory fees

You will receive a bill for rent and other fees.
Please pay by bank transfer.

⚠️ Payment is not automatic.
Please pay at a bank or ATM.
Suruga Bank does not accept international remittances. It is not possible to transfer money from outside Japan after returning to your home country.

 

If you live in a private apartment, please check your contract and complete move-out procedures.
Ask your real estate agency or landlord if you have questions. 

(Suggested timing: About two weeks before returning home)

□Request an academic transcript

If you need an academic transcript or other certificates, please request them from your faculty office at least two weeks before leaving the university.

For non-degree students (exchange students, research students, etc.), transcripts are issued only if requested by the student.

If Shizuoka University needs to send your transcript directly to your home university, please tell the faculty office.

□Cancel the CO-OP insurance (Student Liability Insurance)

Please complete the cancellation procedure at the following locations:

  • Shizuoka Campus: CO-OP “Icho” Building, 2nd floor

  • Hamamatsu Campus: CO-OP North Building, 2nd floor

If you return your CO-OP membership card, you can receive a refund of the membership fee.
Your enrollment period will be checked during the procedure. (Japanese only)

□Complete move-out procedures at the city (ward) office

Please go to the city (ward) office with your passport and residence card.

  • Tell the office that you are moving out of the city

  • Return your National Health Insurance card and pay any remaining fees

  • Cancel National Pension enrollment (if applicable)

  • Return your My Number card (if you have one)

□Post office procedures (if needed)

  • Close your Japan Post Bank (Yucho) account (if you have one)

You will need ID (passport, residence card), your cash card, bankbook, and registered seal.

□Close your Suruga Bank account

  • Go to the branch written in your bankbook and close your account

You will need ID (passport, residence card), your cash card, bankbook, and registered seal.

⚠️ Please close your bank account only after all payments (such as dormitory fees) are completed.

If a withdrawal date comes after you close your account, payment cannot be made.
This may cause delays, extra fees, or other problems.

□Cancel your SIM card / mobile phone contract

Do not forget to cancel your mobile phone contract.

There have been many cases where students leave Japan without canceling their phone contract.
If you forget, the phone company may contact the dormitory later.

Please also check the payment method carefully and make sure that there are no outstanding payments.
f you have scheduled automatic payments—such as mobile phone charges or credit card bills—deducted from your Suruga Bank or Japan Post Bank (Yucho Bank) account, do not close your bank account before the final payment has been deducted.

By your returen date□Return your student ID
Please return your student ID to the student affairs office of your faculty or department.

□Attend the room check on your move-out day

The dormitory manager will check your room, so please be present.

Check the date of the room check with the dormitory manager.

□Return your dormitory key on move-out day

Give your room key directly to the dormitory manager on your move-out day.

If you need to leave when the manager is not available, talk to the dormitory manager in advance.

□Complete other necessary procedures

Keep your residence card with you until you return it at the airport when leaving Japan.
